Bench alternatives

Bench shut down without notice in December 2024 and was acquired days later. It is operating again, but if continuity or ledger ownership is why you are here, these are the options — with what each one costs and who holds your books.

The alternatives in detail

If you want your books in your own file

1. Bookkeeper360

$399/mo

Works inside your QuickBooks or Xero account rather than a proprietary platform, so a future provider change is a staffing decision rather than a data-migration project. From $399/month, or $599 for a weekly close. Cleanup is priced separately from $1,000, which is more honest than most.

If you want the cheapest entry with room to grow

2. Pilot

$99/mo

Essentials at $99/month undercuts Bench Grow by half, though without a dedicated bookkeeper. The reason to pick Pilot is the published ladder above it — bookkeeping, tax by entity type, and CFO retainers up to $5,250/month from one vendor.

Dedicated team

If you want weekly books and Xero depth

3. Xendoo

$355/mo

Weekly bookkeeping on every tier, priced by monthly expense band ($50K / $75K / $125K) rather than by revenue, working in your QuickBooks or Xero file. From $355/month on annual billing. Named Xero Partner of the Year 2025–2026.

If you want the simplest possible arrangement

4. Merritt Bookkeeping

$250/mo

A flat $250/month with no tiers and no contract, entering transactions into your QuickBooks by hand. Cash basis and simple businesses only, and explicitly no AI — but nothing about it can surprise you.

If you would rather not buy a service at all

5. Booke AI

$129/mo

At $129/month it automates categorization and document matching inside your own QuickBooks or Xero file and hands you an exception queue. Roughly a third of the cheapest service with a dedicated human — but only if you will do the review.

Before you switch

  1. Get a full transaction-level export from Bench before you cancel anything, not after. Ask for the format in writing.
  2. Establish which accounting basis your books are on. Moving cash-basis books into an accrual system is a rebuild, not an import.
  3. Ask your new provider what they charge for cleanup and catch-up on the periods Bench closed, and get that in the quote.
  4. If you take income tax with Bench, check the filing deadline against your switch date before you move.

Frequently asked

What is the best alternative to Bench?

There is no single best one — it depends which of Bench's constraints is the one binding you. Bookkeeper360 if you want your books in your own file; Pilot if you want the cheapest entry with room to grow; Xendoo if you want weekly books and xero depth; Merritt Bookkeeping if you want the simplest possible arrangement; Booke AI if you would rather not buy a service at all.

Why do people look for Bench alternatives?

The December 2024 shutdown and two ownership changes since. Customers lost access to their books during the gap. Bench keeps your ledger on its own proprietary software, so leaving is a migration rather than a cancellation. The Grow tier caps at businesses under $250K in annual revenue, so growth forces an upgrade. Accrual accounting and anything beyond straightforward books are not its strength.

Is there a cheaper alternative to Bench?

Yes. Pilot starts at $99/mo, Booke AI starts at $129/mo, against $199/mo for Bench. Cheaper entry prices usually mean less human involvement or a narrower scope, so compare what the fee actually covers.

Have you tested these products?

No. These pages are built from each vendor’s published material with the retrieval date shown, and we say so on every product profile. Our benchmark programme describes the independent accuracy testing we intend to publish.
