The four things that break generic tools

1. Payouts are not revenue

A Shopify or Amazon deposit is net of fees, refunds, chargebacks and withheld tax, over a settlement window that does not match your month. Booking the deposit as revenue overstates margin and understates expenses simultaneously.

2. COGS has timing

Inventory becomes cost of goods sold when units ship, not when you pay the supplier. Cash-basis books on a product business produce margin figures that are simply wrong, month to month.

3. Stock lives in several places

Your warehouse, a 3PL, Amazon FBA, goods in transit. Valuation requires a single view across all of them, which is a systems-integration problem before it is an accounting one.

4. Landed cost is not the invoice

Freight, duty and inbound handling belong in unit cost. Tools that treat them as operating expenses will tell you your gross margin is several points better than it is.

Revenue bands are a rule of thumb for structuring the decision, not a threshold from any vendor or study. SKU count and channel count drive complexity far more than revenue does.

  • How is inventory valued — FIFO, weighted average — and can I see the layer detail?
  • Does landed cost flow into unit cost automatically, or does someone allocate it manually?

Questions buyers actually ask

Why does general AI bookkeeping software fail for ecommerce?

Because the hard part of product-business accounting is not classifying a bank transaction. It is that a Shopify payout is a net figure covering gross sales, refunds, fees, chargebacks and sales tax across a different date range than the deposit; and that cost of goods sold has to move from inventory to the P&L as units ship. Categorization AI does neither. It will happily book the whole payout as revenue, and your margin will be wrong all year.

What should ecommerce bookkeeping software actually do?

Four things beyond ordinary bookkeeping: split marketplace and processor payouts into their components; track inventory quantity and value across locations and 3PLs; recognise COGS against the right period; and reconcile channel-reported sales to money actually received. Ask about all four specifically — “ecommerce integrations” usually means it can read a Shopify feed, which is not the same thing.

Can I run ecommerce books on QuickBooks Online with an AI layer?

Yes, and many brands do — QuickBooks Online has inventory from the Plus tier. It works when your channel count is small and your fulfilment is simple. It gets painful when you add a second marketplace, a 3PL, or landed-cost allocation, at which point you are usually reconciling in spreadsheets anyway. That is the point at which a purpose-built platform starts costing less than the workaround.

How much does ecommerce accounting cost?

Finaloop publishes a $245/month Starter tier, gated at up to $1M annual gross revenue and four years in business, with full-service and platform tiers quoted. Generalist services that will take ecommerce clients — Xendoo, Decimal — start higher or do not publish. Budget separately for a sales-tax solution, which almost nothing in this category includes.

What about sales tax?

Treat it as a separate purchase. Economic nexus means a growing brand accrues filing obligations in states it has never heard from, and no product in our dataset presents itself as a complete sales-tax compliance solution for multi-state ecommerce. Your bookkeeping tool records the liability; something else has to determine and file it.
